Enrollment and Degree Verifications

The Registrar’s Office provides letters that verify a student’s attendance, full or part-time status, graduation date, or degree receipt upon written request from the student.

Employers, loan servicing companies, and other third parties who need to acquire verification of a current or former student’s enrollment or degree completion must contact the National Student Clearinghouse, which offers 24/7 service and can deliver online verifications on demand.

Licensure, Certifications, and Third-Party Verifications

Submit third-party enrollment or degree verification forms that require the embossed University seal directly to the Registrar’s Office for processing. Include the intended recipient's name and contact information, or let us know if the documents should be held for pick-up. Processing time is typically 5–7 business days.

In-School Deferment

After each semester’s add/drop period, the University sends enrollment information to the National Student Clearinghouse (NSC) and the National Student Loan Data System (NSLDS). If your student loan lender doesn’t use these services to verify your enrollment, they may ask you to fill out an In-School Deferment Form. This form can be obtained from your loan lender and then provided to the Registrar’s Office for processing. The processing time is 5–7 business days.

Verification Letter Requests

If a custom verification letter on University letterhead is required, complete the Verification Letter Request Form (PDF) and submit it to the Registrar’s Office for processing.

  • Letter of Degree Completion
  • Letter of Non-Attendance
  • Letter of Enrollment
  • Letter of Course Completion
  • Additional requests that may not be standard

Downloadable Proof of Attendance/Enrollment

Current students may obtain downloadable enrollment verifications (proof of attendance) from the National Student Clearinghouse through UNE Compass at no charge. These verifications certify whether you are enrolled full-time, half-time, or less than half-time for the current semester or all of the semesters you have attended. 

Enrollment verifications for the current semester will not be available in UNE Compass until 5–7 business days after the add/drop period.

Enrollment Status

The University of New England classifies student credit load status for the purposes of financial aid loan deferments. The following table applies credit hour enrollment to full-time, 3/4-time and half-time status.

Notarized Certifications and Apostille

Students who apply for jobs or admission to universities in other countries often need to have their diploma or transcript certified for authenticity. The Office of the Registrar provides this certification and notary service for diplomas, official transcripts, and enrollment verifications.

There is no charge for notary service. Standard fees for duplicate/replacement diplomas or rush shipping through FedEx will apply.

Our office can notarize only documents issued by the Office of the Registrar (e.g., diplomas, transcripts, and enrollment verifications).

Notarization of Transcript

The Registrar’s Office will only notarize hard copies of official transcripts. Please reach out to the Registrar’s Office at registrar@une.edu for all notarization requests. Allow 5–7 business days for processing.

Submit the Notary Request Form to registrar@une.edu to set up an appointment on our Biddeford Campus to have your original diploma notarized.

Mail

Submit the Notary Request Form and your original diploma via mail to the Registrar’s Office. Please allow 5–7 days for processing upon receipt of diploma.

Replacement Diploma (Reproduced Original)

Students who need a physical copy of their diploma for notarization must mail the Notary Request Form, Replacement Diploma Application (PDF), and payment to the Registrar’s Office. Allow 4–6 weeks for processing and receipt of the diploma.

Electronic Diploma

In most cases, a notarized copy of your e-diploma will suffice for degree verification purposes. Please submit the Notary Request Form to registrar@une.edu for notarization of e-diploma. Allow 5–7 business days for processing.

Apostille

An apostille is a form of authentication accepted by countries that have consented to be bound by the 1961 Hague Convention Abolishing the Requirements of Legalization for Foreign Public Documents. Once we have returned the notarized official transcript or diploma with a notarial statement to you, the documents can be submitted to the State of Maine for an apostille. 

Apostille Requirements

The apostille process for the State of Maine includes completing the “Form Request for Authentications/Apostilles” along with the notarized documents and the proper processing fee to the Secretary of State in U.S. funds.
